Function
As an administrative officer, you support the hierarchical manager of the department in the organisation of his or her administrative and operational tasks.
Your function includes the following tasks:
- You provide administrative and organisational support to the manager of the Portfolio & Program Management Office department (agenda management, organisation of meetings, …) and to the entire department
- Creation and follow-up of purchase orders as well as follow-up of the approval of received invoices in SAP
- Coordination of events, as well as internal events and workshops
- Booking of travel and training for the entire department
- Organising meetings, workshops, internal events and seminars at the request of department staff
- Administrative management of documents (contracts, requests for quotations, correspondence, etc.) – SharePoint, incoming and outgoing mail
- Registration and reception of new employees and consultants within the department.
- You are part of the pool of administrative officers of the Grid Solutions directorate in order to set up a back-up system between assistants and also to support other departments that do not have a directly assigned assistant
- You answer questions from internal and external customers within your scope of responsibilities, mainly by email, and manage the mailbox
- You are responsible for punctual translations of documents, presentations and letters
Your Profile
- Graduate degree in an administrative field/secretariat
- You are Dutch-speaking / French-speaking and you have a good knowledge of French / Dutch or you are willing to learn it; knowledge of English is an asset
- Very good knowledge of computer applications such as Outlook, Excel, Word and PowerPoint as well as SAP
- First work experience in an administrative support department is a plus
- You are a proactive person and have excellent organisational skills
- You are discreet and able to handle confidential information
- You are team- and customer-oriented, communicatively strong and able to set priorities
- You can work independently
- You work accurately, independently and in an organised way, and you maintain an overview in a dynamic working environment
- Interest in the electricity sector and technology is a plus
