About the role
For the Asset Management & Work Methods department, we are looking for an experienced Administrative Officer who will play a key role in the administrative and organisational support of the team.
In this position, you support the department manager and the team with a wide range of administrative and organisational tasks. You will work in a dynamic environment where accuracy, structure and autonomy are essential.
Your responsibilities
As an Administrative Officer, your responsibilities include:
- Providing administrative and organisational support to the department manager (agenda management, planning, organisation of meetings)
- Providing administrative support to the entire department
- Creating and following up purchase orders and monitoring invoice approvals in SAP
- Organising and coordinating meetings, workshops and internal events
- Booking travel and training for employees
- Administrative management of documents (contracts, requests for quotation, correspondence) via SharePoint
- Registration and administrative follow-up of new employees and consultants
- Managing the shared department mailbox and responding to questions from internal and external stakeholders
- Translating short documents, presentations and communications when required
You will also be part of the Grid Solutions administrative pool, working closely with other assistants to ensure continuity of support.
Essential requirements
To be considered for this position, you should meet the following criteria:
- Graduate or Bachelor’s degree in an administrative field (secretariat, office management, management assistant, etc.)
- Initial relevant experience in an administrative support role
- Very good knowledge of MS Office (Outlook, Excel, Word, PowerPoint)
- Experience with SAP is a strong asset
- You are Dutch-speaking or French-speaking with a good knowledge of the other national language, or willing to improve it
- You work in a structured, accurate and autonomous way
- You are able to set priorities and manage multiple tasks simultaneously
- You handle confidential information with discretion
- You are proactive, communicative and team-oriented
An interest in a technical environment or the electricity sector is considered a plus.
