Function
- Organising external negotiators’ tasks:
Coordinating with Community Relations Officers to determine the negotiation requirements for each of their projects and, depending on their availability, allocate these negotiation assignments to external negotiators.These negotiation resources must be allocated in a balanced way (that takes into account experience, possible continuity of negotiation in a known area, workload, etc.).
- Operational monitoring of external negotiators:
- Making sure that each external negotiator has all the necessary tools and templates, and a full understanding of the various factors governing their assignments (internal policies, rules, mandates given, essential alignments, etc.);
- Where necessary, supporting external negotiators to ensure that they understand and are able to organise their assignments properly.
- Providing administrative follow-up for external negotiators:
- ensuring the development and monitoring of the quality of work of the pool of external negotiators;
- ensuring the quality and proper use of the external negotiators' work tools (follow-up files, field equipment, photobook, etc.),as well as the IT tools used to invoice their services and report on their work;
- close monitoring to ensure negotiation follow-up files are complete;
- ensuring that negotiators are trained in Elia principles and organising their training in the field;
- organising regular feedback sessions with the manager to monitor negotiators and resource requirements.
- Taking charge of certain negotiations: Being able to build a negotiation strategy based on Elia ethical rules and values, and in accordance with internal policies underpinning business rules (no precedent-setting, risk management); establish prices/m²; etc.
- Seeking and commissioning external experts for an assignment/project;
- Aligning with the Negotiation North team and coordinating and working with the Property and Permits services (requests for cadastral data, transmission of agreements, clarifying project stages).
- Organising/managing tasks relating to the compensation policy:
- Contacting and coordinating the external service providers/experts required for property and survey reports.
- Organising and monitoring external negotiators’ work on the basis of the project team's guidelines.
- Following up IN/OUT documentation handled by external negotiators (letters advising the application of the policy, etc., signed agreements).
- Managing certain payments with the CR internal accounting department (payment for site damage, access, land rental);
- Following team meetings for the content of projects and useful assignments.

Your Profile
- Degree: bachelor’s degree or higher
- At least four years' experience; proven experience in the administrative and practical coordination of a team
- Talent for communication and administrative organisation: organised, able to prioritise tasks, act proactively, distribute a workload, appoint and train external employees, coordinate and follow a number of files at the same time, organise yourself with a number of different contacts, lead sensitive discussions during negotiations, etc.
- Proficiency with MS Office (Excel, Word, Outlook, PPT) and digital databases (SAP)
- Willing to learn and master all factors regulating negotiation: content of the Elia internal negotiation and property policies (after explanation/training by a team member)
- French speaker with a good knowledge of Dutch or willing to learn it
