Purpose of the role
The Document Management Specialist is responsible for designing, implementing, and maintaining efficient document management systems and processes within the organization.
This role ensures secure storage, easy retrieval, proper archiving, and compliance with internal and external regulations for business-critical documents and content.
Key responsibilities
- Develop, configure, and maintain document management systems to support the information needs of the department and organization.
- Establish and enforce standards and procedures for metadata, localization, version control, and retention.
- Coordinate with IT and other relevant teams to ensure system compatibility, data migration, data integrity, process efficiency, and information security.
- Train and support users in document management and archiving best practices, and drive adoption.
- Monitor compliance with document management policies and take action when needed.
- Analyze existing processes, design new ones, identify improvement opportunities, and lead optimization initiatives.
- Act as the main point of contact for internal and external stakeholders regarding document management, requirements, and issue resolution.
Your Profile
- Master’s degree in Information Management, Business Administration, or a related field (or equivalent experience).
- Experience in document management, archiving, or records management in a business or technical environment.
- Experience with digitalization initiatives and change management is a plus.
- Strong organizational and analytical skills, with the ability to implement structured document control procedures from scratch.
- Familiarity with document management systems (SharePoint, Confluence, servers, AI Bot…).
- Knowledge of data protection regulations and how to apply them.
- Strong training and user support skills.
- High attention to detail and accuracy.
- Strong communication and interpersonal skills.
- User-oriented approach to problem-solving.
- You are fluent in French or Dutch, with a good knowledge of the other national language and English.
