Document Manager
Function
As a Document Manager and a member of the Project Support Office, you will play a vital role in the infrastructure department. You will oversee the department’s document management system, ensuring the control, security, accessibility, and timely update of documents like policies, procedures, and guidelines.
Main Responsibilities:
- Develop and implement document management policies and standards.
- Ensure documents comply with legal and organizational requirements.
- Oversee document retrieval, storage, dispatch, and disposal.
- Manage the lifecycle of documents, from creation to disposal.
- Convert paper documents to digital formats.
- Maintain the document management system for continuous improvement.
- Coordinate with departments to ensure document accuracy.
- Provide training on the document management system.
- Lead a team of Document Controllers, ensuring effective and efficient operation.
- Act as a point of contact between Document Controllers and the Project Management Office (PMO).
- Suggest improvements to document management processes.
- Advise Project Managers and Technical Directors.
Project Implementation:
- Support the implementation and configuration of document management tools such as Aconex and SharePoint.
- Prepare "As-built" deliverables-procedures and manage electronic files.
Market Watch:
- Manage relationships with preferred eDMS vendors.
- Maintain and improve framework agreements with vendors.
Your Profile
- Bachelor’s degree in Document Management, Information Sciences, or equivalent experience.
- Proven experience as a Document Manager or Lead Document Controller.
- Familiarity with document management systems like SharePoint and Aconex.
- Proficient in MS Office suite.
- Strong organizational and time management skills.
- You are Dutch or French-speaking and can communicate fluently in English.
- Attention to detail and ability to handle confidential information.
