Function
As an Operational Assistant, you provide the internal service with organisational, administrative and practical support. You help ensure the smooth implementation and coordination of preparations for and the follow up to committee meetings, reports, training and internal communication.
Duties and responsibilities:
- Preparing, planning and following up meetings of the Committee for Prevention and Protection at Work (CPPW). This includes preparing agendas, taking minutes of meetings, distributing reports and documents, sending invitations and managing the list of participants;
- Organising communication between committee members, internal and external services and employees;
- Being responsible for the practical organisation and support of activities and events, such as workshops, study trips, training courses, awareness campaigns and health promotion (including lunches, practical appointments and travel bookings);
- Preparing, coordinating and distributing the internal service’s monthly and annual reports;
- Supporting the implementation and follow-up of actions from the global prevention plan (GPP) and the annual action plan (AAP);
- Creating and supporting PowerPoint presentations and other communications, including contributions to Pulse (blog posts and internal communications);
- Providing administrative support, including the preparation of orders (shopping carts), budget monitoring and acting as a back-up for colleagues;
- Coordinating and managing the service’s diary.
Your Profile
- Bilingual (Dutch and French);
- Strong organisational and administrative skills;
- Discretion, good communication skills and team spirit;
- Initiative, accuracy and reliability in reporting;
- Experience in prevention, HR or a similar position would be an advantage;
- Good knowledge of welfare legislation and relevant internal procedures or a willingness to gain this knowledge;
- Willingness to obtain the prevention advisor level 3 (Preventieadviseur Niveau 3) certificate.
