Function
The successful applicant will be part of the Property team and responsible for managing dossiers and data relating to Elia's property assets in Flanders.
Key responsibilities
- Managing and updating databases relating to property assets: creating files on a digital platform (e-core), accurately inputting data relating to dossiers (plots of land, rights in rem and personal rights, euro-denominated sums linked to the value of property and/or transactions, etc.), ensuring the accessibility of databases, posting documents on the server and seeing to the structured classification of these documents (permits, agreements, deeds, etc.), so that information can be easily accessed by the whole team.
- Searching for and communicating information about Elia's assets: assessing and checking information requests, providing clear answers and adhering to predetermined deadlines.
- Maintaining contacts, both in-house (various Elia departments such as Controlling, Accounting and Legal, operational teams, etc.) and externally (launching applications to the Land Registry Administration, and contacting notaries with a view to executing official deeds and formalising contracts and agreements).
- In the context of external contacts, checking and correcting information, reviewing content and format when drawing up draft deeds, and organising and following up on notarial deeds as well as on the related payments.
- Notarial component (strong profile):
- Preparing, reviewing and following up on draft deeds
- Coordinating with notaries with a view to executing official deeds
- Checking legal content and formal requirements
- Following up on signatures and the registration and transfer of deeds
- Following up on payments linked to transactions
- Managing economic compensation agreements:
- Taking care of administrative follow-up to compensation agreements concluded by Elia
- Managing related documentation and databases
- Following up on payments and contractual obligations
Your Profile
- Bachelor's degree (preferably in law) or equivalent experience
- Experience of notarial work would be a major advantage (dossier manager/notarial assistant)
- A keen interest in property and legal matters
- Good knowledge of Dutch and working knowledge of French
- Accurate, structured and independent
- Strong organisational skills and priority management
- Ability to follow up on complex projects over the long term
- A team player with a sense of initiative
- Proficiency in MS Office (Word, Excel, Outlook)
