Job description
As Executive Assistant to the Chief People & Culture Officer (CPCO) of Elia Group, you will be responsible for the efficient organisation, coordination and support of all the CPCO’s day-to-day activities. You report to the CEO's Assistant and work autonomously and with the utmost discretion, handling confidential information and acting as a key liaison between the CPCO, internal stakeholders and external partners. Your professionalism and organisational skills will contribute to a consistent and positive image of Elia Group, as well as to the optimal efficiency of the office of the CPCO.
Key responsibilities
- Proactive and efficient management of the CPCO’s diary: scheduling appointments, meetings, seminars and travel.
- Organising and preparing meetings (internal/external), seminars and documents; collecting and verifying all necessary documents.
- Point of contact and intermediary between the CPCO and internal departments or external relations, managing requests, consolidating information and monitoring response times.
- Meticulous handling of incoming and outgoing correspondence (emails, letters, etc.).
- Efficient handling of administration related to expenses and HR files, as well as logistical matters relating to the CPCO.
- Continuous updating of professional and private contacts.
- Organisation of business travel and coordination with external service providers.
- Support for senior management’s HR processes: recruitment procedures, potential assessments and other confidential HR tasks overseen by the CPCO.
- Assistance with the department’s budget management: preparation, monitoring of expenditure and invoice verification.
- An assertive ‘buffer’ and ambassador for the company’s values, ensuring consistent and professional representation.
- Flexibility, autonomy, discretion and constant organisation to project a positive and dynamic image to all stakeholders.
Your Profile
Profile required
- Bachelor’s degree (Executive Secretarial Studies, Languages, Law or equivalent experience).
- Sound knowledge of French, Dutch and English (spoken and written); knowledge of German would be advantageous.
- Minimum five to 10 years’ experience in a similar role, working with an executive committee or senior management.
- Ability to work independently and discreetly in a confidential manner, flexibility, customer focus, initiative and organisational skills.
- Strong sense of responsibility, attention to detail and professionalism.
- Excellent communication skills, facilitator and liaison between internal and external contacts.
- Advanced proficiency in MS Office (PowerPoint, Excel, Access, Word, Outlook); SAP experience would be an asset.
- Legal, technical and administrative knowledge; experience with video conferencing and mind-mapping tools would be an advantage
- Team spirit and the ability to manage priorities and work under pressure.
