Function
As an Administrative Support Officer, you are responsible for providing logistical and administrative support for the Gouy area.
Your responsibilities include:
- Preparing, reporting on, and following up planning meetings within the Gouy area.
- Processing various data in technical databases, making data available for maintenance activities, and managing this technical data after the work has been carried out using dedicated IT tools.
- Administrative processing related to purchasing activities, including: processing purchase orders in SAP, sending purchase orders, verifying safety certificates, calling off framework agreements, reserving equipment and materials, filing and archiving documents, etc.
- Providing reception coverage at the Service Center and participating in administrative tasks within the administrative pool.
- Coordinating local goods receipts and performing the related administrative processing in SAP.
- Managing Facilities-related activities (meeting rooms, reception, key management, mail handling, etc.).
- Providing general administrative support to various departments, including administrative preparations, database management, filing, and related activities.
- Supporting the local management and monitoring of the service vehicle fleet.
- Creating and modifying Elkeys (or access badges) that provide temporary access for subcontractors to Elia’s high-voltage substations.
- Supporting logistics follow-up for the Assets department and managing the local warehouse, including stock management, storage, and distribution of goods.
- Processing inspection reports from AIB Vinçotte.
Your Profile
- You hold at least an A2 diploma in a technical and/or administrative field, or you have acquired equivalent experience through your professional background.
- You enjoy working with computers and have a good knowledge of Microsoft Office. Knowledge of SAP is an asset.
- You are accurate, detail-oriented, and well organized.
- You have a strong customer-oriented mindset.
- You are flexible and solution-oriented.
- You enjoy working as part of a team.
- You have an affinity for technical matters.
- You are willing to travel regularly to other sites within the area.
