Administrative Assistant
Function
You will become part of Elia's Finance Department in Brussels, which consists of various teams (including the Controlling, Investor Relations, Risk & Internal Audit and Accounting & Tax teams).
We are looking for an Administrative Assistant with the dynamism and experience to support our managers in the Finance Department. You will have a varied range of tasks and interesting responsibilities. You will be your colleagues’ right hand and ensure that administrative files are up to date and that follow-up is smooth. You will develop an internal network of enthusiastic employees in the Finance Team but also with the Purchasing Department and fellow assistants, etc.
As an administrative assistant, you will carry out the following duties for the various teams:
- You will manage the diaries of the senior managers and proactively update them, so the team can rely on the efficient planning and organisation of activities.
- You will organise both internal and external meetings and maintain an overview of the absence of team members (due to leave, training, foreign travel, etc.).
- You will book flights and hotels and arrange travel plans for the various departments.
- You will keep various databases up-to-date and ensure that documents and lists are archived (e.g. on SharePoint).
- You will be responsible for managing various orders (SAP), ensuring that everything runs smoothly and contributing to the effective monitoring of budgets per department.
- You will take care of ad-hoc administrative tasks (e.g. Access management, supply management and subscriptions).
- You will welcome new colleagues to the team, prepare their on-boarding and offer them administrative support when they start their activities at Elia.
- You will maintain contacts with internal departments and external relations.
Your Profile
- You have a bachelor’s degree in office management or a relevant discipline and/or have relevant experience.
- You already have several years’ experience as an administrative assistant.
- You have an excellent command of MS Office applications and quickly master new IT tools.
- Knowledge of SAP would be an advantage.
- You have very good French or Dutch language skills and speak the other country language well; you also have a sufficient command of English.
- You are able to work independently and show initiative when necessary.
- You are structured, organised and accurate and able to prioritise the organisation and planning of your work.
- You enjoy the challenge of flexibility in your daily work and are stress resistant.
- You are sociable and have a customer-focused approach and strong communication skills.
